You will keep the School's daily rhythm together. From the reception desk, you are the first face families, students, and visitors meet, and you are also the connection point between our English-language school systems, our Hungarian-speaking partners, and the families in our community.
Around this steady base, you will bring energy to our community life: after-school activities, events, excursions and open houses. You will also coordinate the administration around our students' health screenings and vaccinations, working alongside our school nurse.
This is a role for someone who enjoys being at the centre of things, who likes people and likes order in equal measure, and who is comfortable switching between a conversation with a parent and a spreadsheet that needs to be accurate.
Be the first point of contact for parents, students and visitors, creating a welcoming and professional atmosphere
Oversee daily school attendance and support afternoon pick-up
Manage visitor registration, couriers, post and general school logistics
Report and follow up on maintenance and cleaning needs in the building
Keep school processes clear and up to date using Google Workspace tools
Handle occasional card payments
Coordinate the schedules for after-school activities and private classes with accuracy and efficiency
Develop and maintain the portfolio of after-school activities and private classes with your colleague
Work with the team on in-house and outdoor events, excursions and open houses
Help create community events that bring families and team together
Be a helpful source of local information for international families and educators
Lead your own projects, based on your skills and interests
Much of your community coordination happens alongside your reception time, between conversations at the desk. It is an interruption-rich environment, and that is worth knowing in advance.
Our school nurse (védőnő) and the school doctor carry out all health assessments. Your role is to make their work possible by handling everything around mainly during the screening and vaccination periods.
Coordinate the timing of health screenings and vaccinations with the nurse and the class teachers
Prepare and send information and consent forms to parents, track what comes back, and follow up on what does not
Prepare accurate class lists and student records for the nurse ahead of each visit
Maintain health records in the school database to a high standard of accuracy and confidentiality
Please note: this role carries no clinical or medical responsibilities of any kind.
You will cover for colleagues in case they are away or something urgent comes up, in these areas:
Health & Safety processes, including record-keeping
Acting as Deputy Fire Marshall
Student administration
Procurement of learning resources and supplies, with attention to sustainability and ethical sourcing
Fluency in both English and Hungarian. Our teachers, students and families work in English, and so do our school systems. Many of our local partners work in Hungarian. You will move between the two every day, and communication with parents stays with you.
Alignment with our culture and mission, including support for our commitments to sustainability and social impact
Confidence with digital tools, particularly Google Workspace (Sheets, Docs, Forms, Calendar), and genuine comfort working with data and AI.
Strong organisational skills, and the discipline to keep accurate records in an environment full of interruptions
Discretion. You will handle sensitive personal information, including health data. We provide training and clear protocols, and we expect care.
An approachable, empathetic personality: someone who builds warm relationships easily
2+ years of experience in front-of-house, hospitality, office management, customer service, event coordination or school administration
A self-starter attitude: resourceful, adaptable, proactive, with the persistence to see things through
Supporting our plant-based school meals ambitions - please note that you are not expected to be vegan
Experience working with children, young people or families, ideally in culturally diverse communities
A Bachelor's degree or higher in communications, economics, tourism, education or administration (equivalent experience is equally valued)
Experience with environmental or social-entrepreneurial causes
Predictable hours: your core time at the desk runs either from 8:30 until 13:00 or from 13:00 until the last children have been collected, usually by 17:30. You can do the rest of your day from home or from our very own Planteen, unless a meeting brings you in
Flexibility to work mainly from home during school breaks, unless we do one of our usual building rebuilds
